Part Time Office Bookkeeper & Administrator

Location:   Moreton, Wirral

Salary:       £18,700 (FTE £25,000)                                                   

Days:         Usual days: Tuesday to Friday

Hours:        28 hours per week (9:15 to 4:15 with 30 min unpaid lunch)

Occasional additional hours may be required with appropriate notice, for which time off in lieu or overtime payment will be offered.

We are looking for an experienced, positive and well organised person that can work as part of a team to ensure the smooth running of the office. This isn’t an activity delivery role, but the person will be essential in providing a warm and welcoming environment to our participants and their support team, as well as creating a positive experience by ensuring all bookkeeping and administrative requirements are well organised, and up to date.

Responsibilities:

 

  • General bookkeeping using QuickBooks software including, but not limited to, monthly customer invoicing, payment collection, cash management, and bank reconciliations.
  • First point of contact for visitors and telephone calls, resolving questions independently, delegating or escalating where necessary.
  • Support the Activity team with smooth day to day operations, including daily activity registers, scheduling and diary management.
  • Provide monthly reporting for board meetings
  • Support in year end accounting processes in conjunction with management and external accountants
  • Upkeep and maintenance of participant records on the database
  • General Centre support as and when required

Person Specification:

  • Online bookkeeping experience for participant invoice preparation, supplier invoice processing and payment, receiving participant payments via bank, cash or card, and other general bookkeeping processes within a busy environment
  • Administrative experience of working within an, at times, busy reception environment, so able to multitask under pressure.
  • Able to work independently, and to understand when escalation is needed.
  • Excellent verbal and written communication skills.
  • System experience of: QuickBooks, Google Calendar and MS Office, especially Excel
  • Organised, positive person with a mature and caring outlook who is willing to help whenever and wherever its needed.
  • Experience of working in or with the third sector preferable
